Welcome Letter

Dear Parents and Carers                                                                                                

Thank you for your holiday club booking - we look forward to seeing your children at the holiday club very soon. Please remember we cannot take children who do not have a booking, due to our limited numbers.

We are unable to accept children without a completed registration form with at least 2 emergency contact details. Please complete the online form here or email back the attached Word form. If your child has not attended before, it would be lovely if they could complete the attached All About Me form with details of your child’s interests.

Parents and carers will need to bring children to the front door of the school hall at any time after 8.30am. Collection is any time before 4pm (Please note NEW extended timings). Please be aware of our late collection policy as below.

Please do not send your children in with their own toys, bikes, phones or other technical items, there is plenty do at the club. They also do not need snacks such as sweets or chocolate as this leads to competitive behaviour. We are focusing on healthy eating this holiday. Children will be able to bring in their own scooters with a helmet.

The staff who will be caring for your children are from our clubs at Charlton Wood, St Mary's Bradley Stoke and Frenchay: Robyn, Marina, Lucy and Cath will be leading the sessions, with other playworkers joining them. 

LOCATION / ACCESS

If you are not familiar with the location of the club, Charlton Wood Primary Academy is located on Charlton Boulevard, BS34 5BN Parking is available on the roads around the school, however please be considerate of local residents when dropping off and collecting children.  

WHAT TO BRING:

• Children may wear their own clothes - these should be clothes they can play, paint and eat in - not their best clothes!
• A water bottle
• Packed lunch if you do not wish to make use of our lunch provided - NO NUT PRODUCTS
• Spare clothes / shoes / coat / underwear- just in case! - all labelled
• Hat /suncream if weather is sunny
• Own scooter and helmet if you would like to

Children will NOT need to bring ‘gadgets’ or phones- we have all your contact details and if you need to contact us for any reason please ring the holiday club mobile number below. Spare clothes may be left at the club if required. 

FOOD

We are able to provide a healthy breakfast and lunch (if paid) each day – we will serve meals such as cereal, toast and fruit juice for breakfast, cheese/ ham/vegan wraps, pasta salad etc with yoghurts and fruit for lunch. Please do not send children in with sweets or chewing gum as it leads to competitive behaviour and we will have to ask children to hand in their snacks to a member of staff for the child to take home at the end of the day.

We will have all your child's medication information on site, but please let us know if they have any food allergies or concerns on the online Registration form.

ACTIVITIES

There are a large number of activities available for the children to enjoy. If your child wants to paint or make junk models all day, or design and make an enormous Lego model, that's fine! Children need 'down time' in the holidays and we will provide opportunities for them to relax as well as play. There will also be a range of structured activities on offer such as cooking or craft, as well as outdoor games and den-making.

We are committed to providing an environment where children take ‘managed risks’ and learn new experiences under close supervision. 

Please note:

• All activities will be closely supervised by experienced club Playleaders with a high ratio of children to adults.
• All areas will be risk-assessed daily before children use them.
• Children may not use bikes or skateboards. They are welcome to bring their own scooters with helmets but they are only for the child’s own use.
• A first aider will always be present with the club phone, contact details and a first aid kit.

FOR EASTER 2024:

STAFF

The staff you will meet at the club are experienced OOSC staff members from our clubs at St Mary's, Charlton Wood, St Helen’s, Frenchay and St Mary's Thornbury clubs:, Robyn and Marina will be leading the sessions supported by members of our OOSC team. There will always be at least one qualified Paediatric first aider on site.

FEES / BOOKINGS 

Please be aware we cannot accept children at the holiday club without a booking and payment in advance, (we are no longer eligible to offer funded places). Please do not put the staff in a difficult position of having to turn children away.

CLOSURE / CANCELLATIONS

Due to the necessity to maintain staff ratios and the difficulty filling session places at the last-minute, fees for bookings cancelled within one week of the session date are non-refundable, Sessions will be fully refundable the club is unable to open due to Covid-19 government regulations.

Please remember the club closes at 4pm (NEW timings) and collection after this time is fined at £3 per child, increasing by £3 every 5 minutes.- children will not be able to attend again until this fine is paid.
